CMMS software comparison 2026: 11 tools, prices and features
Eleven maintenance management tools that UK and US plants meet most often, compared from their public pages: list prices, offline mobile app, AI, sensors, lockout and food safety. We make a CMMS ourselves, Reglova, so we also say where it falls short.
Published on 13 October 2026 by the Reglova team. Prices and features read on 13 October 2026.
At a glance
- A workshop or a small plant with fewer than 50 machines: a tool with a public price list will do. MaintainX, Fiix and Dynaway each have a free plan to start with.
- A plant audited against BRCGS, IFS Food or IATF 16949: look for lockout and hygiene inside the work order, not in a separate module. IFS Ultimo documents both; Dynaway sells lockout and permits as its Safe Work add-on, UpKeep as a separate safety product. Reglova does both in the work order.
- A group already running SAP or Business Central: the ERP's own maintenance module, IBM Maximo, or Dynaway, which lives inside Business Central.
- List prices published in this comparison run from $20 to $155 per user per month. Six of the eleven vendors show no price at all, and IBM Maximo is sold by the year, from under $40,000.
How we compared
On 13 October 2026 we read the pricing pages, feature pages and help centres of the CMMS vendors that a UK or US manufacturing plant meets in a tender or a search, and kept eleven. Two did not make it: the Eptura Asset product page (formerly Hippo CMMS) did not load on two attempts, and the French vendors of our French comparison, such as CARL Source, Coswin or Hakuna, mostly sell in French.
- "Yes": the feature is documented as standard.
- "Partly": a paid add-on, a partner product, a top plan or a narrower version.
- "Not documented": we did not find it on the vendor pages we read. That does not prove it is missing.
Prices are copied as each page displayed them, in US dollars unless stated, per user per month and before tax. Most pages show a dollar sign with no currency code; a visitor from the UK may be offered other amounts. eMaint lets you choose pounds sterling, and Dynaway prints its prices in four currencies.
Our own CMMS, in beta today, is in both tables under the same rules, and What we lack lists where it is behind. A vendor spots a mistake? Write to us from the contact page: we correct it and date the correction.
Features, vendor by vendor
Six families still separate CMMS tools in 2026. Work requests, preventive maintenance, spare parts, QR codes and an API are found almost everywhere and no longer tell products apart.

What stands out: offline mobile apps, AI and sensors have become standard, and the sensor link is often sold on top (Fiix prices its OT connectors per plant, Limble flags extra costs). Lockout and permits inside the work order are much rarer in the mid-market. IFS Ultimo, Dynaway's Safe Work add-on and UpKeep's separate safety product document them; IBM Maximo covers health and safety more broadly.

Five patterns in how CMMS is priced
- People who report breakdowns use the software for free (MaintainX, UpKeep): the licence follows the technicians.
- Single sign-on with the company account sits in the top plan or comes as an add-on (MaintainX, UpKeep, Limble).
- AI is sold by volume, in monthly credits (UpKeep), or kept for the top plan (eMaint, MaintainX).
- Sensor connectors cost extra: from $3k per plant per year at Fiix, extra costs at MaintainX and Limble.
- Annual commitments are the rule above the entry plans: prepaid at eMaint, 12 months non-cancellable at IBM Maximo, billed annually at Dynaway.
Which CMMS for which plant
A workshop or a small plant, fewer than 50 machines
What matters: breakdown requests anyone can make (a QR code on the machine), preventive work that comes back on its own, and statutory inspections tracked with their reports. Start on a free plan (MaintainX, Fiix, Dynaway) and test the export of your data before you key in 25 machines. Check what the free plan holds back: MaintainX Basic caps repeating work orders at two, Fiix Free caps active PMs at 25.
A plant audited against BRCGS, IFS Food, SQF or IATF 16949
Auditors ask for evidence: machines locked out, hygiene clearance after the job, temporary repairs followed up, calibrations in date. In the demo, check that the software blocks the mistake rather than logging it: assigning a technician without the qualification, closing a job without lockout, signing your own hygiene clearance. IFS Ultimo documents HACCP, BRC and IFS audit readiness[21]; Limble lists 21 CFR in its Enterprise plan[9].
A multi-site group running an ERP
If purchasing and stock live in SAP or Business Central, the connector decides. IBM Maximo is an enterprise suite sold by the year[13]; Dynaway runs inside Business Central[23]. Count the languages, the rights per plant and the transfers of spare parts between sites.
Statutory inspections in the UK and the US
A UK plant schedules LOLER thorough examinations of lifting equipment and the examinations set by its PSSR written scheme for pressure systems. In the US, energy control under OSHA 29 CFR 1910.147 calls for written lockout procedures and periodic inspections of them[2]. Whatever the tool, check that an inspection carries its interval, its reference and the inspector's report, and that a finding opens a work order.
Reglova, our CMMS: what it does differently
We built it for food and automotive plants with 1 to 10 sites, where a lockout or hygiene mistake costs an accident, a product recall or a failed audit. Here is what it does today, and what you can check in the demo:
- On a machine whose lockout procedure has been entered, it refuses to close the work order until the machine has been locked out and verified, even when the closure is entered without signal.
- A technician without the required qualification cannot be assigned; the reason is shown.
- In a hygiene zone, tools are counted in and out, and the return to production is signed by someone who did not work on the job.
- You draw your plant yourself, no BIM model needed; machines with a problem stand out in colour.
- The failure mode offered depends on the machine class (ISO 14224), a stoppage is counted once, and the audit file for IFS Food, BRCGS or IATF 16949 comes out as a PDF. The PDF is in French.
- Statutory inspections are reminded by email 30 days and 7 days ahead and on the due date. The built-in library follows French regulations; a UK or US plant enters its own, a LOLER examination for instance, with its interval and reference.
- Its 29 maintenance calculators are open to everyone, with no sign-up: MTBF and MTTR, OEE, bolt torque, bearing life. In the CMMS, the result is attached to the work order.
What we lack
- No generative AI assistant: no answers drawn from manuals, no dictated job reports. AI features are now common: MaintainX, UpKeep, Fiix, Limble, eMaint and IBM Maximo all sell some.
- No app in the stores: the phone runs a web app, and its offline mode has not yet been tried for a full day in a plant.
- No customer references or public reviews yet: the software is in beta.
- No ERP connector (SAP, Business Central): a documented API (OpenAPI) and webhooks instead.
- UK and US regulations are not built in: the inspection library and the PDF audit file are in French.
- Four languages: French, English, German and Spanish.
- No on-premise installation; the hosting provider will be named before sign-ups open.
Frequently asked questions
How much does CMMS software cost?
Among the list prices published in this comparison, from $20 to $155 per user per month: MaintainX Essential costs $20 billed annually[1], Dynaway Premium USD 155[22]. Six vendors show no price at all, and IBM Maximo Essentials starts under $40K a year for up to 25 users[13]. Budget for setup on top: the asset list to import, training, and sensor connectors if you need them, which Fiix sells from $3k per plant per year[8].
Is there a free CMMS?
Three vendors here have a free plan, each with limits. MaintainX Basic allows 2 work orders with procedures and 2 repeating work orders[1], Fiix Free stops at 25 active PMs[7], and Dynaway Starter covers 2 users and 125 assets, with a licence to renew every year[22]. Ours, Reglova, is free during the beta.
Which CMMS suits a food and beverage plant?
Look for hygiene inside the work order: clearance signed by another person, tools counted, temporary repairs followed up. IFS Ultimo documents HACCP, BRC and IFS audit readiness and allergen changeovers[21], and Limble lists 21 CFR compliance in its Enterprise plan[9]. Reglova blocks the hygiene clearance while a tool is missing.
Do you need a CMMS with AI?
Many teams are heading there. According to a MaintainX survey, 32% of maintenance teams have fully or partly implemented an AI solution, and 65% expect to adopt AI over the next 12 months[3]. An assistant works on the data you give it, so consistent failure codes come first. Our own software has no assistant yet.
What should a UK plant check that a US review leaves out?
Currency and VAT first: most pricing pages show dollars before tax, while eMaint quotes in pounds[11]. Then your statutory inspections, LOLER and PSSR among them: the software must store the report against the inspection and plan the next one. Under UK GDPR, ask the vendor which country stores your data.
